What does CareTracker keep track of?
All 16 Care Certificate standards for each new starter, the evidence they add, the tasks their assessor sets, and the outcome and sign off for every criterion. Mandatory training for every member of staff sits alongside it, and diplomas your staff are working towards can be set up on the same platform.
How does it keep mandatory training in date?
Every member of staff and every mandatory course sit on one training matrix: moving and handling, safeguarding, fire safety, medication, infection prevention and the rest. Each one shows as in date, due soon or expired, with the date it runs out. Twelve common courses are set up for you from day one, and you can add your own and say how long each one lasts.
Who chases the renewals?
CareTracker does. Every day it checks the dates and emails each member of staff when a course is due within 30 days or has run out. The manager sees the same picture on their dashboard, so nobody keeps a spreadsheet of expiry dates.
How does a new starter use it?
You add a new starter and they get an invitation by email. They sign in, see the standards they need to complete, and add evidence as they go, including video of their practice once they have given consent. Their assessor marks each piece of work and ticks off the criteria it covers.
What does a manager see?
Progress for every person, the work waiting to be marked, who has not started, and how much of the home's mandatory training is in date. When an inspector asks how you know your staff are competent, you can export an inspection pack for each new starter, with their Care Certificate record and their training, ready to hand over.
How is our staff data kept safe?
Each care home's records are kept apart from every other customer's. Video is only uploaded once consent has been recorded, and it is deleted automatically when its retention period ends.
How much does it cost?
£35 per member of staff using it, per year, plus VAT. There is no setup fee and no minimum number of staff. A home with 30 staff on CareTracker pays £1,050 a year plus VAT.
Is there an offer for the first care homes?
Yes, for the first 10 homes. You sign the normal 12 month agreement and the first 3 months are free. If CareTracker is not right for you, you can stop at any time in those 3 months and pay nothing. After that the agreement runs for the rest of the year at £35 per member of staff, plus VAT.
In return, we ask for a short call each month so we can hear what works and what does not, and your permission to name you as one of our customers.
Can we start using it now?
CareTracker is in its final checks before it opens to its first care homes. If you would like to be one of them, get in touch and we will show you how it works.
